Reno Hexayurt Rental Terms & Agreement

This Rental Agreement (“Agreement”) is made between Reno Hexayurt (“Provider”) and the individual or entity renting the Hexayurt (“Renter”). By renting a Hexayurt, the Renter agrees to the following terms and conditions:

1. Rental Period

1.1. The Hexayurt may be picked up, up to five (5) days before the event date.
1.2. The Renter must return the Hexayurt within two (2) days after the event to qualify for a full deposit refund, unless previous arrangements have been agreed upon. 
1.3. Late returns may result in additional charges or forfeiture of the security deposit.

2. Rental Fees & Security Deposit

2.1. The Renter agrees to pay the full rental fee upon booking to secure their reservation. This deposit is held to reassure all products in the rental are returned in their same working order. Normal wear will occur with the package and Reno Hexayurt anticipates this. After the event, each numbered unit will be inspected and photos of any damage will be taken to be sent to the renter, to open discussion about the damages. It is recommended that any renter inspects the package/packages upon opening the unit, take photos, to verify there are not any evident damages when received. When damages are accessed, please take into account that there is time involved to source replacement parts and labor involved in doing so. This agreement is a contract agreed by the renter. 
2.2. A refundable security deposit of $800 is required at the time of order. This amount is the based on the cost of the rentals value with the rental price. If a renter would like to keep the package for further use, this is available, just reach out to us after the event and Reno Hexayurt will deduct the difference from the deposit and refund the balance. 
2.3. The security deposit will be refunded within 14 business days after the Hexayurt is returned, subject to inspection. After the event each unit is inspected to access for any damages that might have been made. If damages are discovered, the refund could take up to 30 days. 
2.4. If the Hexayurt is returned with damage, missing components, or excessive dirt requiring cleaning, deductions will be made from the deposit accordingly. The deposit is simply held to verify the product is in the same condition and working order. Small blemishes are not an issue. If the product is simply dusty (ex: used at Burning Man), this is not an issue as it is anticipated. 
2.5. In cases where damage exceeds the deposit amount, the Renter is responsible for covering any additional repair or replacement costs.

3. Pickup & Return Process

3.1. The Renter is responsible for picking up and returning the Hexayurt at the Return address during the agreed-upon time. Hours will be flexible, but can change or be limited. Customers can view the address by logging in to their accounts. Pickup and Return location are subject to change, but will be made transparent and convenient within an area that is close in proximity to the event/festival. 
3.2. The Hexayurt must be transported safely and secured properly to prevent damage during transit. Reno Hexayurt will provide tools to transport, but it is the Renters responsibility and their responsibility only to assure the packages safety. The package is a temporary structure and on average will be a package that is 5'x6'x1'. This requires it to be connected to the roof of most vehicles or in the back of a dry van or pickup truck. 
3.3. If the Renter fails to pick up the Hexayurt within the scheduled time, no refunds will be issued unless prior arrangements are made; the deposit will be refunded. 

4. Condition & Inspection

4.1. The Renter is recommended to inspect the Hexayurt at the time of pickup and report any pre-existing damage immediately to avoid conflicts with returning the Package and deduction from a deposit. 
4.2. The Hexayurt must be returned in the same condition it was rented, with all parts and accessories intact. It is not required to clean the units, but all items must be returned in their same working condition. 
4.3. If any damage, missing parts, or excessive dirt is found upon return, the Provider will assess the issue and determine the appropriate deductions from the security deposit.

5. Cancellation & Refund Policy

5.1. Cancellations made at least 30 days before the scheduled pickup date/event will receive a full refund. 
5.2. Cancellations made after this period will be subject to a partial refund or no refund, depending on the notice given. This is due to limited rentals available.
5.3. No refunds will be issued for no-shows or unclaimed rentals.

6. Renter Responsibilities & Liability

6.1. The Renter is solely responsible for the setup, use, and proper care of the Hexayurt during the rental period.
6.2. The Hexayurt must be used for its intended purpose and not modified or altered in any way. No stickers, hooks, or markings will be allowed. 
6.3. The Renter agrees to follow all safety guidelines and regulations regarding the use of the Hexayurt.
6.4. The Provider is not liable for any injuries, accidents, or damages resulting from improper use of the Hexayurt. The Provider will not be responsible for damages to transportation vehicles during the rental from improper use by the Renter.

7. Agreement & Acceptance

By renting a Hexayurt, the Renter acknowledges that they have read, understood, and agreed to the terms outlined in this Agreement and Terms of Service

Your Reno Hexayurt is a durable, insulated, and climate-conscious shelter ideal for harsh desert environments like Burning Man. Built with safety and comfort in mind, each unit comes pre-installed with an AC port and is constructed using high-quality fire-resistant materials.

Material Overview

• Wall Panels: 1" or 2" thick TSX-8500 polyiso insulation boards, foil-faced for superior heat reflection and rigidity.
• Core Material: Closed-cell polyisocyanurate foam with low flame spread (Class A rating) per ASTM E84.
• Facing: Reflective foil facers on both sides for heat rejection and UV resistance.
• Fire Behavior: Non-dripping, low smoke development, approved for exposed interior use in specific assemblies.

These materials are engineered for thermal performance and fire resistance in extreme environments.

Air Conditioning (AC) Use

Every Reno Hexayurt is AC-ready:

• Comes with a built-in AC port, compatible with most compact portable AC units (5,000–8,000 BTU recommended).
• Always use a generator or battery system rated for your AC’s power draw.
• Ensure adequate ventilation for AC exhaust — never vent into a closed space.
• Keep the AC unit shaded and off the ground to prevent sand clogging.

Tip: For best cooling, operate AC during peak daylight hours and keep the hexayurt sealed.

Fire Safety

• No open flames: no candles, stoves, fire pits, or incense inside.
• Use only battery-powered lighting — avoid heat-generating devices.
• Keep an ABC fire extinguisher in the yurt.
• Maintain 3 ft clearance around walls and electrical devices.
• Avoid combustible tapes or hanging fabrics inside.

Power & Electrical Safety

• Use low-voltage systems (12V battery banks, solar setups, inverter generators).
• All power sources should be outdoor-rated and ventilated.
• Avoid overloading AC units or power strips.
• Do not run cords through panel seams — use ports or pass-throughs.

Ventilation & Heat Management

• Use roof vent and door flap to release heat buildup.
• Reflective foil helps reject solar gain — add shade tarp for extra cooling.
• Do not fully seal the yurt unless AC is actively running.

Wind & Weather Protection

• Secure with lag bolts, rebar stakes, or screw anchors.
• Seal seams with high-quality 3” foil HVAC tape to reduce dust intrusion.
• In dust storms: close all vents/doors and remain inside.

Emergency Access

• Keep the door accessible — do not block with gear or furniture.
• Have a flashlight or headlamp nearby at night.
• Ensure everyone knows how to exit quickly in an emergency.

Before Leaving the Event

• Remove all anchors and tape. Leave No Trace.
• Inspect and clean panels. Store in dry, shaded area.
